Overview

With multiple places you can go to access and update data in the OWNA ecosystem, this guide provides a visual aid for the best places to add/update information and how it flows to the other locations.

Roster to Payroll

  1. Rosters are built in the OWNA Portal (but can also be viewed/edited in HQ)
  2. Staff can view their roster, bid for shifts, and see their timesheets from the OWNA HR App
  3. Staff clock in/out via the OWNA App at the service
  4. Timesheets can be edited in the Portal and HQ
  5. Timesheets are synced to Payroll from HQ only
  6. Finalised timesheets can be deleted from Payroll if they need to be resynced
  7. Pay Runs can be generated from Payroll
  8. Payslips are sent from Payroll and can be accessed from the OWNA HR App

Employee Details

  1. Employees can be onboarded through OWNA HR (in HQ)
  2. The employee's master profile (HR Profile) is managed in OWNA HR, and also updates key information in OWNA locations they are linked to & their Payroll profile
  3. Employee Documents should also be stored in OWNA HR
  4. Employees can view and update their details/documents from the OWNA HR App
  5. Award information can be updated from their Payroll Profile in Manage Payroll

Leave Requests

  1. Leave Requests can be submitted from the OWNA HR App or the HR Portal (a.k.a. 'erly')
  2. Leave Requests can be entered by an approved manager in OWNA HR (HQ or 'erly')
  3. Approved leave is sent to Payroll and OWNA Portal (e.g. display on rosters/timesheets)
    • Leave shifts on the rosters from the OWNA Portal do not flow through to Payroll
